Client Relationship Specialist

Summary
The Client Relationship Specialist serves as one of the primary points of contact for clients, ensuring a positive, professional experience while supporting administrative, operational, and tax processing functions. This role manages client communications, document management, mail and shipping processes, office inventory, and administrative support for accounting staff and leadership. The position plays a key role in client retention, responsiveness, operational efficiency, and overall service quality.
Essential Functions
Client Reception & Relationship Management
- Serve as a point of contact for clients via telephone, email, and in-person interactions.
- Help greet and assist clients, visitors, and vendors in a professional and welcoming manner.
- Respond to client inquiries and route requests appropriately.
- Support client retention efforts and satisfaction initiatives.
- Assist clients with secure portal access, document delivery, and return retrieval.
- Complete Client Exit Checklists and assist with quarterly estimated tax communication efforts.
Tax Return & Financial Statement Processing
- Assist with assembly of tax returns.
- Coordinate tax return delivery and secure portal communications.
- Help manage SafeSend deliveries and client downloads.
- Bind and assemble financial statements and client reports.
- Send electronic copies of returns and documents upon client request.
Document Management
- Scan, organize, and electronically file client documents.
- Intake, route, and track client source documents.
- Process incoming correspondence and returned mail.
- Maintain filing systems, hold drawer logs, and document retention procedures.
Mail & Shipping Administration
- Manage incoming and outgoing mail distribution.
- Process shipments through USPS, FedEx, UPS, and other carriers.
- Prepare and coordinate certified and international mailings.
- Maintain certified mail logs and shipping records.
- Oversee fax communications, Drop Box, and Concierge Box processes.
- Mail invoices, statements, tax notices, and other client correspondence.
Administrative & Office Support
- Provide administrative support to accounting staff and leadership.
- Schedule appointments, meetings, and internal planning sessions.
- Assist with special projects and operational initiatives.
- Maintain office organization and conference room readiness.
- Support daily office operations to ensure efficient workflow.
Inventory & Facilities Management
- Monitor and order office, mailing, and beverage supplies.
- Maintain storage room, refrigerator, and supply room inventory.
- Monitor envelope, letterhead, and printed material inventory.
- Coordinate vendor orders and deliveries.
Compliance & Special Projects
- Process and distribute property tax payment receipts.
- Log and mail required tax forms and compliance documents.
- Maintain accurate records and support regulatory filing requirements.
Errands & Additional Responsibilities
- Perform occasional business errands, including trips to the Post Office, banks, and local vendors.
- Pick up or deliver client documentation when authorized.
- Maintain availability during peak tax season, including Saturday morning hours.
- Perform other duties as assigned to support firm operations and client service excellence.
Pay and Benefits:
- Hourly pay range $15.00 - $16.00 per hour
- Overtime paid at 1½ times the regular pay rate – OT is generally limited to tax season, and hours are estimated to be in the range of 150 to 200 overtime hours between January – April 15th
